If they do have a 501(c)(3) letter of determination from IRS, they can use that to apply for non-profit status with the post office, reducing the cost per letter for a bulk mailing. They will also have to get a bulk mailing permit from the post office – I think that costs somewhere between $175 and $200 a year. Then when they print up their mailing, in the place where a stamp would normally be there is a box called an indicia, which should say “Non-profit, US Postage Paid, Permit No. ??, Bolton, MA 01740″ The mailing address is either Resident, or Postal Patron, Bolton Ma 01740. There are five postal routes and there are also post office boxes. The people at the post office can give you the count for each route, and for the PO boxes. The people doing the mailing need to go to the post office, pick up 6 trays, and count out the proper amount for each route, put each into a tray and label it Rt. #1, etc. There is a form that needs to be filled out – I usually show the person at the post office what I am mailing, and they tell me what boxes to check off.
